Most schools don't run on one system — they run on five or six: a paper attendance register, an Excel sheet for fees, a separate spreadsheet for exam marks, a WhatsApp group for parent updates, and a filing cabinet for everything else. Each one works fine in isolation. The problem shows up at the seams: a fee receipt that doesn't match the ledger, an attendance number that contradicts the report card, a parent who never got the circular because they left the WhatsApp group. Moving off that patchwork isn't really about buying software — it's about deciding to keep one version of the truth.
The actual migration is more mechanical than most administrators expect. Start with the data that changes least often — the student roster, class and section structure, and fee heads — and get that into the new system first. Attendance and exam records can usually be backfilled from the current academic year without much friction, since most platforms accept a spreadsheet import rather than requiring manual re-entry. The part that takes real planning is staff training, not data entry: give teachers, accountants, and front-office staff a week or two of parallel running — old process and new system side by side — before switching off the paper trail for good.
The system you choose matters more than the migration process itself. A platform assembled from bolted-together point tools — one app for fees, another for attendance, a third for report cards — reintroduces the same seams you were trying to eliminate, because data has to be reconciled between systems instead of living in one place. That's the reasoning behind building Inter-College as a single platform covering admissions, fees, attendance, exams and report cards, staff and payroll, and communication, with every school on its own isolated database rather than a shared table with thousands of other institutions.
If you're weighing whether now is the right time to make the move, the honest answer is: earlier is easier. The longer a school runs on paper and spreadsheets, the more historical data has to be cleaned up before it can be migrated, and the more staff habits have to be unwound. A 15-day free trial is enough time to load a term's worth of real data and see whether a platform actually fits how your office already works, before you commit to anything.
